12 Telecaller KPIs Every Sales Manager in India Should Track
The telecaller performance metrics that matter: dials, connect rate, talk time, follow-up discipline, conversion and more, with how to measure each in a CRM.
You can’t coach what you can’t see. On a telecalling floor, the difference between a good month and a bad one is usually hiding in a handful of numbers. Here are twelve KPIs worth tracking, grouped by what they tell you.
Effort: is the team calling?
1. Dials per agent per day
Total call attempts. It’s the most basic activity measure and the easiest to game, so never look at it alone.
2. Login time and first-call time
When did each agent actually start dialling? DialSathi’s login session reports show when agents logged in and when calling began, which explains a lot of slow mornings.
3. Talk time
Total minutes on connected calls. Very low talk time with high dials often means agents are skipping through leads; very high talk time with few conversions may mean long, unfocused calls.
Reach: are calls connecting?
4. Connect rate
Connected calls divided by dial attempts. It reflects lead quality, calling times and number accuracy as much as agent effort. Compare it by source and by hour to find when your leads pick up.
5. Speed to first call
Time between a lead arriving and its first call. For ad and marketplace leads, the first few minutes matter. Automatic import and distribution, rather than a morning list, is what makes this number drop.
6. Attempts per lead
How many times leads are tried before being closed as not reachable. Too few and you’re wasting leads you paid for; too many and agents are stuck on dead numbers.
Discipline: are follow-ups happening?
7. Follow-ups due vs completed
Of the callbacks scheduled for today, how many were actually made? This single number is often the biggest lever on conversion.
8. Overdue follow-ups
Callbacks past their due time. A growing overdue count is an early warning that an agent is overloaded or disengaged.
9. Disposition quality
Are agents marking real outcomes, or defaulting to “call back” on everything? Spot-check dispositions against call recordings.
Results: is it turning into business?
10. Conversion rate
Leads won divided by leads worked, per agent and per source. This is the number to coach towards.
11. Revenue or deals per agent
Closed value, not just count. With DialSathi’s HRMS module, this also feeds incentive calculations directly.
12. Stage drop-off
Where leads fall out of the funnel: after first call, after site visit, after quote. A conversion funnel report shows which stage needs attention.
Putting the KPIs to work
- Daily: dials, connect rate, follow-ups due vs done, overdue count.
- Weekly: conversion by agent and source, stage drop-off, listen to a few recordings per agent.
- Monthly: revenue per agent, source ROI, incentive payout.
Avoid setting targets on effort alone. “200 dials a day” encourages rushed calls; “all follow-ups done on time, connect rate above your team average” encourages good work.
Measuring without spreadsheets
All twelve KPIs come for free when calls, dispositions and follow-ups are logged automatically. In DialSathi, agent performance, lead source breakdown, call analytics, the conversion funnel and a daily activity ticker are built in, and a live view shows who is talking, ready, on break or late.
